 Student Policies

Payment of fees assumes acceptance of all MANC policies.

  1. Registration is on a first-come, first serve basis. To insure placement with the instructor of your choice and a convenient lesson time, it is advisable that students register at least three weeks prior to the onset of each trimester. Spring schedules will presumably stay the same as the fall, if tuition of continuing students is received at least three weeks prior to the onset of the trimester, unless the instructor needs to change. Lesson times will be scheduled before the beginning of each trimester by the teacher.
  2. All students are required to register and pay at the least the first payment on or before their first lesson. If a student has not registered and paid within 2 weeks of the first lesson, the teacher is instructed not to teach the student and a $10 penalty will be charged to the student. If a students pays for the full term (or remainder of the full term, if beginning after the onset of the term) by the first lesson, the student will receive a 1% discount on the tuition fee.
  3. Only students who register for full terms (or full remaining terms, if registering after the onset of a trimester) will be accepted, unless approved in advance, in writing, by the instructor.
  4. Students may register by e-mail, postal mail, fax, phone, or in person, using cash, checks or Visa/MasterCard/American Express.
  5. The administration fee per family is $12.50, for summer; $25, fall; and $25, spring. The administration fee is waived for students who pre-register for the full year in the summer.
  6. Previous trimester account balances must be paid in full before registering for a new trimester.
  7. Students may earn $20 tuition discounts for referrals. A $20 tuition credit (no cash will be paid) will be awarded for each referral that results in a new student who enrolls for a minimum of 15 private 30-minutes lessons, a full Early Childhood class, or full special offering (combo, ensemble, etc.) by August 31 (fall semester) or January 31 (Spring semester). No summer term referral discounts will be awarded.
  8. Students are expected to continue lessons for the full trimester. If it becomes necessary to withdraw from instruction for any reason, the student must provide written notice of termination to the Director of Finance within the first 14 days following registration. (Verbal notice or requests will not be accepted.) The Academy will refund to the student only tuition paid (registration and payment plan fees are non-refundable), and the refund shall be reduced by the cost of three lessons. (The cost of lessons will be determined by the fee schedule for the instruction for which the student originally registered.) No refunds will be issued to any student who withdraws after the second week of lessons.
  9. A fee of $10 in the summer (in addition to the administration fee), $15 in the fall and $15 in the spring is added should you wish to use our payment plan. We request that all payments be prompt. There is a $20 fee for each returned check.
  10. Students/parents who are utilizing the payment plan are required to maintain their account in a current status. All students using the payment plan will owe the first payment before the start of the first trimester of lessons, the second payment six weeks after the start of the trimester, and the final payment twelve weeks after the start of the trimester. If a new student starts after the beginning of the trimester, the payments will be due on the same schedule. Any parent/student who who allows his/her account to fall behind more than two weeks will receive a notice that lessons will cease unless the account deficiency is corrected within the following 10 days. (Teachers are not responsible for maintaining class availability for students who have been dropped for any reason.)  Teachers receive copies of late payment notices. Teachers then must assume responsibility of confirming on future rosters the status of that student’s payment, and stop lessons if payments have stopped.
  11. Students/parents reserve the right to request a teacher change at any time in the trimester. Requests should be made to Laura Holley, Executive Director.
  12. Missed lessons: Please call your teacher’s voice mail extension at 691-0672 if a lesson needs to be canceled. For the protection of our students and teachers, we request that students who are sick refrain from coming to lessons. However, prior notice of lesson absence does not exempt students from payment, nor exclude them  from the no-make-up policy.  Teachers do not provide make-up lessons for student cancellations. However, should a teacher miss a lesson due to any circumstance, that lesson will be made up at a time which is mutually convenient with the student and teacher. Teachers may arrange for a substitute teacher. The Academy will attempt to notify students prior to substitute lessons, but it cannot be guaranteed that time will allow for such notification.
  13. DO NOT bring food and drinks into the school. NO SMOKING is allowed in MANC.
  14. Parents must arrange to have children dropped off and picked up within 30 minutes of lesson time. Once a student enters the Academy, he/she must remain inside the Academy until his/her transportation arrives. Please caution your children not to run into the street.
  15. All students are expected to be on their best behavior while at the Academy. Students are expected to treat each other, parents, faculty and staff with respect; and to refrain from playing in the halls or bathrooms, running, and/or being loud enough as to interrupt lessons and Academy business. Students who are disruptive will be reprimanded and parents will be notified. We reserve the right to terminate, without refund, the lessons of any student who is disruptive to others at the Academy.
  16. Students may use the Academy phone for emergencies only, and only with staff assistance.
  17. Emergency school closing:  In inclement weather, The Music Academy often remains open. The Music Academy will close if conditions become dangerous. The Music Academy does not guarantee make-up lessons if lessons or classes are canceled due to weather conditions. Announcements of closing will be on The Music Academy’s voice mail system, WFMY-2, WGHP-Fox 8, WXII-12, and WXLV-ABC 45. If Guilford County public schools close, Early Childhood morning classes will be canceled; afternoon classes will be decided by individual Early Childhood teachers who will notify parents if classes are canceled.
  18. The Music Academy reserves the right to use student names and photographs for promotional purposes unless we receive in writing a statement to the contrary.
  19. Discounts:  Students are able to receive the following discounts: 1) Students may earn $20 tuition discounts for referrals (See #7 above.); 2) The administration fee is waived for students who pre-register for the full year in the summer;  3) If a student pays for the full term (or remainder of the full term, if beginning after the onset of the term) by the first lesson, the student will receive a 1% discount on the tuition fee.
  20. All student information is confidential and not shared with individuals, organizations or businesses.  Hardcopies are shredded when no longer needed for MANC purposes.
